Temporary and seasonal POS staff
Temporary POS staff still see that location’s past orders — there is no hide-history permission
Direct answer. Shopify’s Point of Sale permissions table has no permission that hides past order history. Temporary or seasonal staff who can take a sale still see orders made at the device’s location. The closest control is Manage orders at all locations set to Denied, which Shopify documents as restricting staff to orders made at the device’s location — not as hiding that location’s history. Return and exchange orders is a separate refund control; turning it off does not hide orders. Confirm the live Help Center pages; Shopify can change labels. This page is not legal advice and not a privacy attestation.
Staff Access Audit Guard (Shopify App Store · Write a review) reviews installed-app access, granted scopes, staff access records, and ownership evidence without reading customer or order data. It tracks staff and collaborator access with 30/90-day review reminders. It does not revoke staff, change POS roles, or hide order history. This page is the POS order-history gap for temporary staff — not the leftover-admin self-score and not a POS discount checklist.

What native Shopify can and cannot do
Native Shopify can assign a POS role with named register permissions. Shopify documents that you assign a role, not individual POS permissions, on Understanding Shopify POS staff management. POS roles are documented for some location subscriptions. On that role you can deny Manage orders at all locations so staff manage only orders made at the device’s location, and you can deny Return and exchange orders so they cannot refund. You can also deny View customer details, which Shopify describes as restricting the customer’s email, phone, and shipping address on POS — that is customer contact fields, not the order list.
Native Shopify cannot hide that location’s past orders from a staff member who is ringing sales. The orders permission set on the Help Center page does not include a “view order history” or “hide past orders” row. Customer privacy for past purchases is therefore not a POS toggle you missed.
There is also no date-range limit: the POS permissions list does not include a setting that shows only today’s or the last few days’ orders. The options documented today are role-level only: deny Manage orders at all locations, deny Return and exchange orders, review View customer details, and suspend the staff account when the temporary period ends (Users and permissions).
The Community request this page answers
In the Shopify Community thread Feature Request: Restrict Access to Order History in Shopify POS Pro (opened 10 October 2026), a merchant asked for a permission that lets temporary or part-time staff check out sales without browsing past orders, including orders from their own location. A later reply asked for a limit to today’s or the last few days’ orders. The thread contains no Shopify answer, and the permission table below still has no such row.
Every documented POS permission worth reviewing for temporary staff
Shopify’s Point of Sale permissions page says POS roles are available only for locations on the Shopify POS Pro subscription. On those roles, these documented permissions reduce what a temporary cashier can see or change. None of them hides the device location’s past orders.
- Manage orders at all locations — Denied: staff manage only orders made at the device’s location.
- Switch device’s location — Denied: staff cannot change the device’s location setting. Without this, the location limit above is easy to step around.
- Return and exchange orders — Denied: staff cannot refund or exchange orders.
- Manage draft orders — Denied: staff cannot view, retrieve or edit draft orders from other retail locations, or draft orders created from admin.
- View customer details — Denied: staff cannot view the customer’s email address, phone number and shipping address.
- View abandoned checkouts — Denied: staff cannot view a customer’s online cart items from abandoned checkouts.
- Manage saved carts — Denied: cart sharing is hidden and staff cannot view the recent cart list.
- View analytics for device’s location — Denied: staff cannot view the Daily Sales report for their location.
- View payment tracking session history — Denied: staff cannot view details of previous payment tracking sessions.
Shopify also says that while POS permissions control who can perform an action, you can review which staff member performed a high-risk register action in the activity log for Shopify POS. That is a record after the fact, not a block.
Where Staff Access Audit Guard fits
Staff Access Audit Guard is an audit tool. It reviews installed-app access, granted scopes, staff access records and ownership evidence, so you can see who still has access after a seasonal block ends. It does not restrict access, change POS roles, or hide order history. Restricting access is done only in Shopify’s own roles and user settings above.
Checklist: limit what temporary staff can do
- Open the POS role Shopify documents, not only Settings > Users admin roles. Admin permissions and POS roles are different records — see POS roles vs admin staff permissions.
- Set Manage orders at all locations to Denied so seasonal staff do not browse other locations’ orders.
- Set Return and exchange orders to Denied unless that person should refund.
- Set Switch device’s location to Denied so the location limit holds.
- Review View customer details if the job does not need email, phone, or shipping address on the register.
- When the shift block ends, suspend or remove the user in Settings > Users. There is no calendar end date on the POS role — that gap is set an end date on staff or collaborator access. For the full removal steps, use the staff permissions audit checklist.
What this page is not
- Not legal advice, a privacy attestation, employee monitoring, or a security grade.
- Not a substitute for the live Help Center POS permission table, which Shopify can update.
- Not a claim that any app hides POS order history. Staff Access Audit Guard reviews access you already granted; it does not change POS roles.
- Not the leftover-admin 2FA and publish-rights score. That URL is staff permissions audit checklist.
